Keeping your guests happy this summer at your social events!

This can be stressful, wondering how you will entertain your guests this summer, especially if you have a varied target audience. You wonder if it's possible to keep everyone engaged and happy.

Events are our thing, and we love attending them and talking about them, so that's why we wanted to put a few tips together to help you and to make sure your event runs silky smooth.

Sticking to the plan of action | remember your why.

It's easy to get carried away when planning an event and to start booking irrelevant entertainers or gadgets, but don't forget about your 'why'. Why are you planning this event? What do you hope to achieve? Are you looking for your guests to just have fun, or do you have specific, measurable goals to focus on?

If you have some Marketing knowledge, then I would imagine you're looking to achieve specific, measurable goals; if that's the case, you need to be focused on what the priorities are for your event and how you're going to achieve them.

If you're looking for people to join a circus, then maybe entertaining them with a fire breathing unicyclist would be perfect, but this might be a little extravagant for some low key corporate events you'll find in the heart of London. Know your audience. Know your style. Know your why.

Keeping track of the event | avoid detours

If your event has specific time slots for presentations, talks and entertainers, make sure you stick to those time slots. The likelihood is if you have a busy schedule, your guests will get bored or be thinking about when the food is being served etc. So don't allow presenters to run over, it's essential to stick to the plan, and if they do run over, you need to try and recoup that time somehow.

Imagine detouring from the planned topics so much that you run out of time and your guests haven't had the experience they were expecting, or they missed out on what they came for, this will give your event a bad reputation, and unfortunately, your guests won't return.

Keeping your event on the schedule, whether it be a wedding or a corporate function, will allow your guests to get the whole experience they expected, and you won't be stressed out that it hasn't run silky smooth. You will also have time to showcase any surprise entertainers, which will keep your guests smiling.

Engage with your guests | be the host

You may be the type of person who likes to be behind the scenes when planning these social events, the thought of being the centre of attention at your own event is a complete nightmare, you know, like the one where you're standing there in front of a crowded room completely naked, cringe.

However, your guests will relate to you personally, not your brand. So being at the forefront of your own social gathering can be extremely rewarding for you and your business. Engaging with your audience and making them feel welcome and special can mean your event will be memorable, your guests will want to return, and they're more likely to want to do business with you in the future.

Engaging with your guests can also encourage networking; some find networking overwhelming and often avoid it, but if they see the host they recognise, they will be more inclined to engage with you and others around you.

Communication | offer clear guidance

Some things may be evident to you but think about your guests. Will they know everything that is planned for your event? No.

Ensure you offer a guide to your event, showing any information you think your guests may need. Timings and locations for presentations, perhaps include a map if you have a large event venue. Information on the speakers, social hashtags, Wifi details all the things your guests will be looking for. The most efficient way of doing this is creating an event App, everything they need in one place; this also helps the environment by reducing printing and plastic folders.

Feedback | to improve is to know what went wrong

You may not want to hear it, but knowing why your social event may not have been successful is the key to making it right the next time.

Always ask for feedback, this could be in person while your guests are at your event, or it could be a questionnaire sent after via email. Make sure you ask the right questions and get detailed feedback; this will help you plan next time around.

You can't get it perfect the first time.

Lastly, just make sure your guests are comfortable, relaxed and entertained; they will undoubtedly stay longer and be likely to return.
